Pre-renewal reminder emails: what banks accept as proof

Why the reminder matters

In a cancelled-recurring dispute (Visa 13.2, Mastercard 4841) the reminder is one of three required records, alongside the customer’s consent and the cancellation log. It answers the bank’s question: was the customer told this charge was coming?

It does a second job before any dispute exists. The customer who forgot they subscribed is the customer who calls the bank. A reminder turns that surprise into a decision to keep or cancel.

What a reminder should say

  • The product or plan, so the customer knows what is renewing.
  • The amount that will be charged, and the card’s last four digits.
  • The date of the charge.
  • A clear, one-click way to manage or cancel.
  • Your brand name as it will appear on their statement, so they recognize the charge when it lands.

When to send it

Send it far enough ahead that the customer can act. As common practice, brands send a few days before a monthly renewal and one to several weeks before an annual one. Annual plans and trial conversions deserve the earliest and clearest notice, because the gap between purchase and charge is longest.

Network and card-network rules on notices for some billing arrangements vary by region and change over time. Check your processor’s guidance for the markets you sell in.

What to keep as evidence

RecordWhy the bank cares
Send log with timestampProves it went out before the charge.
Recipient addressProves it went to the address on the account, not a stranger’s.
The email as sentShows the amount, date and cancel link the customer saw.
Delivery or open statusStrengthens the case when present. An open is not required.

Mistakes that make a reminder worthless

  • Sent after the charge.
  • No cancel link, or one that needs a login the customer can’t recover.
  • No log kept, so you can’t prove when it went out.
  • Buried in a marketing email the customer never read.

Questions

Do I have to send a renewal reminder?

Requirements vary by region and billing type, so check your processor. Regardless, a reminder is one of the strongest records in a cancelled-recurring dispute and it cuts disputes before they start.

How far ahead should I send it?

Common practice is a few days before a monthly renewal and one to several weeks before an annual one. Trial conversions benefit from the earliest, clearest notice.

Does the customer have to open the email?

No. A timestamped send log to the customer’s address is the core record. An open helps but isn’t required.
