Annual plan chargebacks: why they’re riskier and how to protect them

Why annual renewals are different
A monthly customer sees your charge twelve times a year. An annual customer sees it once, long after signing up, in an amount big enough to prompt a call to the bank. These arrive as Visa 13.2 or Mastercard 4841, and the dollars at stake make each one worth fighting properly.
Remind earlier and say more
Common practice for annual plans is a first reminder weeks before the renewal and a second a few days before. Each should state:
- The plan and the exact amount.
- The renewal date and the card’s last four digits.
- One-click cancel and an option to switch to monthly.
- What the customer used over the year, if you have it. A reminder that shows value reduces regret.
See renewal reminder emails for the full checklist and what to keep as evidence.
The evidence for a large dispute
- The cardholder agreed to recurring terms at checkout (terms version, timestamp, checkbox).
- A pre-renewal reminder was sent before the disputed charge, with a link to manage or cancel.
- No cancellation request was received before the renewal date.
- The renewal order was shipped and delivered, or the account was used after renewal.
For an annual plan, usage across the year is especially persuasive: a customer who used the product in months nine, ten and eleven is hard to square with “I forgot I had it”.
Decide your refund stance in advance
A written policy for annual refunds, such as a window after renewal, lets support refund quickly and fairly. A fast refund within that window beats a dispute: it keeps the chargeback off your ratio and avoids the fee.
Questions
Why are annual plans disputed more?
The customer last heard from you a year ago and the charge is large, so a surprise is more likely and more costly.
How early should I remind annual customers?
Common practice is weeks before, with a second reminder a few days before, each stating the amount, date and how to cancel.
Should I offer a refund window on annual plans?
Yes. A clear window lets support refund quickly, which keeps the dispute off your ratio.
