Your cancellation flow is a chargeback lever: how to build one that protects you

Why cancellation drives disputes
The most common dispute for a subscription brand is “I cancelled” (Visa 13.2, Mastercard 4841, Amex C28). Sometimes it’s true: the request got lost between channels. Sometimes it’s the customer who never found the cancel button.
Rules on easy cancellation of subscriptions vary by country and state and have been changing. Check the requirements for the places you sell, and treat easy cancellation as good practice regardless.
What a protective flow does
- Cancel from the account page and from the renewal reminder, in a few clicks, no phone call required.
- Accept requests by email, chat and support tickets, and route them into one place.
- Confirm every cancellation by email with the effective date.
- Stop the next charge immediately, and refund any charge made after the request.
- Log each request with channel and timestamp.
The log is your evidence
In a dispute you have to show no cancellation reached you before the charge. That means a record covering every channel, not just the subscription app. The cancellation log is the record a bank weighs most.
| Channel | What to keep |
|---|---|
| Account or subscription page | Status history with the timestamp of any cancel action. |
| A searchable archive of the customer’s messages. | |
| Chat and support tickets | Conversation history with timestamps. |
| Phone | Call notes, if you take cancellations by phone. |
Offer an alternative, not an obstacle
A pause, skip or discount offer at cancel time keeps some customers without blocking anyone. Keep it optional and make the cancel button obvious. See pause, skip and save offers.
Questions
Why does a hard cancellation flow cause chargebacks?
Customers who can’t find how to cancel call their bank instead, and the dispute arrives as a cancelled-recurring claim.
What should I log for each cancellation request?
The channel, the timestamp and the customer. A log covering every channel lets you prove what did and didn’t reach you.
Should I refund a charge made after a cancellation request?
Yes. Refund it promptly. Fighting that dispute loses and costs you the fee.
