How to choose a chargeback recovery service: the questions to ask any vendor

Pricing: what exactly are you paying for?

Most recovery services charge a share of what they win back. The details decide what you actually pay.

AskWhy it matters
What counts as a win?A dispute marked won, or money actually returned? Is a partial recovery a win?
Is there a cap, a minimum or a setup fee?A cap favors large disputes; a minimum or monthly fee changes the maths on small ones.
What happens if a win is reversed? Some vendors refund the fee, some don’t.
Do alerts, prevention or reports cost extra?Bundled and separately priced products can total very differently.
Do lost, withdrawn or expired disputes cost anything? They should cost nothing under a pure success fee.

Evidence: does it understand your business?

A recovery service is only as good as the records it can reach. For subscription brands the decisive records are consent, the reminder, the cancellation log, delivery and usage. Ask:

  • Which of those does the service read automatically, and from which tools?
  • Does it read cancellations from every channel, or only the subscription app?
  • Can you see the evidence file for a past dispute, with the source of each claim?
  • How does it handle records that aren’t connected, such as a cancellation by phone?

Quality: who checks the response?

  • Is every claim in a response tied to a source record, and is anything without one blocked?
  • Does a person review unusual or high-value cases, or is everything automatic?
  • Can you review or edit a response before it’s filed, if you want to?
  • What happens when a dispute isn’t worth fighting? Does the service say so, or file anyway?

Security and data

  • What certifications does the vendor hold today, and can it show a report? “In progress” isn’t the same as certified.
  • What access does it need to your store and processor, and is it read-only where possible?
  • How are credentials stored, and how long is data kept after you leave?
  • Can you export or delete your data on request?

Fit and exit

  • Does it connect to your processor, subscription app, helpdesk and email tool? Which are live and which are on a roadmap?
  • How long does setup take, and who does the work?
  • Is there a contract term or lock-in, and what’s the notice to leave?
  • Can you try it on real disputes before committing?

Read marketing claims carefully

Statistics are only useful with a source, a date and a definition. “Up to” figures, percentages with no denominator, and results labelled “average” without a sample can’t be compared across vendors. Prefer vendors that publish decided cases by dispute reason, and ask for the same from every vendor, including us.

Our comparison pages use only statements from each company’s own public pages, with the source and date next to each one.

Questions

What should I ask a chargeback recovery vendor?

How a win is defined and charged, what the fee covers, how evidence is built and checked, what security it can show, which of your tools it connects to, and what the exit terms are.

Is a success fee better than a monthly fee?

A success fee aligns the vendor’s revenue with yours and costs nothing on losses. A monthly fee can be cheaper at high volume. Compare both on your own numbers.

Can I trust win-rate statistics?

Only with a source, date and definition. Ask vendors for results by dispute reason and for the sample behind any average.
